  Finding a Contact

Find contact will display a list of contacts captured on the system based on the filter criteria set. Filter criteria include filtering by: contact name (first or last/organisation), contact type or by contact username (as advanced search criteria). Once the relevant data is entered, click the Submit Search button, all results that match the filtered criteria are listed.

Wildcards can be used to assist in searches, for example A* (the letter A and an asterisk) entered in the Organisation/Last Name field will return matches on all contacts listed with the organisation or last name starting with the letter A, for example ABC COMPANY, ANDREWS etc.

To run a quick find for a reservation, select the Find Reservation from the Reservation menu. This find will show reservations with the input reservation number/name.

  1. Enter the contact name or contact type and click Submit Search to search for matches (use wildcards in the contact name to extend the search)

  2. Advanced search provides additional search criteria such as 'username' and including 'Inactive records' (i.e. deleted records that are kept on the system for archiving)

  3. Depending on the results that are displayed, the report may be separated across 'pages' (35 rows are displayed per page), click the page number or Next button to scan through the list

  4. Use the ascending and descending arrows to change the order the results are displayed in, by clicking the respective sort indicator

  5. Moving the mouse onto a contact name will indicate a link, clicking the reservation will take the user to the Contact Details screen.
Use the Next record and Previous record toolbar button to scroll between contacts (in the order the contacts are listed on the Find Contact screen)

  6. An X in the user column indicates that the contact has a User role allocated

  7. An X in the agent column indicates that the contact is setup with an Agent role

  • Use the Print icon on the toolbar to print the list - this will print the currently viewed page - select the next page by clicking the page link or the Next button and then clicking the print icon again
  • To search for all contacts, enter an asterisk in the contact name field and press enter (or click Submit Search)
  • All users can have access to the contact find; the results shown on the report are limited by the user's relationship. This means that agents cannot see contacts that they are not linked to
