Allocating a user role to a contact means they will be allocated a username and password for logging onto the system.

User name
A system-generated username and password
When a user is created or the password is reset the username and password is the same
On login to the system, the user is prompted to change their username/password
At any point the user can change their username and password by clicking the Change Password button on the main toolbar
Access group
Access group determines the access restrictions the user has. Access group restrictions determines what modules and level of functionality users have on the system, the relationship (on the main contact form) determines the data the user sees i.e. an external user will only see data (reservation and contact information) linked to their agency

Edit
To edit an exiting user role, click the 'User' role on the main contact form, the User role window will open - from the window select the Edit button on the toolbar
Make required changes and click Save or Save and Close to update
If the user notification has not been sent, the Email notification window will open when the user role is edited
Save
When the user is created, on click of Save or Save and Close the email user notification window opens. This is an email that can be sent to the user notifying them of their username and password
Click Send to send the email
Click Cancel to close the email window (Cancel from the email window will not affect the user role)
Save and Close
Save and Close will save the user role and open the email user notification window
Delete role
To delete the user role, open the user window in edit mode
Select the Delete Role button
The contact's user rights will be removed from the system (they are no longer a user and they will no longer have system login access)
Exit
Clicking exit will close the user window without saving changes (if the user role has not been saved, the window will be closed and the user role not updated)
Reset Password
On editing an existing user role the reset password can be selected (this is primarily for users who have forgotten their username and password)
Clicking the Reset Password button will reset the password and open the 'email notification' window
