The reservation details tab
displays details of the reservation including: contact information, billing
summary information and itinerary details. From here contact, itinerary
and status information can be amended.
Only users with Reservation-Update or Management access can edit reservations.
To edit information on the reservation details screen, click the edit
button on the toolbar.

| Internal Consultant |
|
- The name of the internal reservations consultant who created
or was allocated to the reservation
- User’s with Reservation-Management access can change
the allocated consultant, when a new consultant is allocated the
Allocated date is changed to the date the new consultant was allocated
|
| Allocated date |
|
- This indicates the date the consultant was allocated to the
reservation
- When a user with Reservation-Management access changes the
consultant the allocated date is automatically updated with the
new date
|
| Agent |
|
- The agent allocated to the reservation (usually deriving a
certain commission from a reservation), where there is no agent
allocated to the reservation, the agent is displayed as ‘Direct’
- To change the agent, click the search button to the right of
the agent name and select the new agent
- Selecting a new agent will not re-adjust the costs. The
commission allocated to the new agent and adjusted reservation
costs can be updated on the Billings tab. From the billings
tab the commission needs to be input and the ‘Regenerate
Costs’ button selected

| Contact |
|
- The contact person for the reservation
- The contact person is usually an external consultant at a travel
agency or tour operator organisation, where the reservation is
direct (i.e. no agent involvement), the contact is the person
allocated to receive documentation regarding the reservation
- To change the contact person allocated to the reservation,
click the search button to the right of the contact name and select
(or add) the contact

| Rate type |
|
- This is the rate type allocated to the reservation
- Once a rate type is allocated to a reservation it cannot be
changed
|
| Invoice Currency |
|
- When a reservation is created the invoice currency defaults
to the rate type currency, where the client requests the invoice
to be generated in a different currency, an invoice currency can
be set on the Billings tab
- When an invoice currency is set a conversion rate must be applied
to the reservation
|
| Deduct Comm |
|
- If agent commission is set as Yes to deduct, it means that
the payable amount is displayed excluding commission, i.e. the
agent pays a ‘discounted rate’. If the commission
is set to No, it means that the payable amount is displayed including
commission, i.e. the agent pays the full amount and is reimbursed
the commission by the resort
- A different commission or changing the deduct commission setting
can be done on the Billings tab. Once changed the amounts can
be regenerated and the commission recalculated

| Commission/ discount |
|
- The commission or discount percentage applied to the reservation
- This amount is dependent on the agent allocated to the reservation
(the amount is called from the agent role setup on the contact’s
file)
- The amount set here will does not apply to extras, extras commissions
are set as commission payable or receivable per extra on the extras
tab
- The commission can be changed on the billings tab, once changed
the reservation calculations need to be regenerated

| Total gross amount |
|
The total amount for the reservation including commission, tax
etc· If this value displays as TBA it means one or more of
the costs for the reservation cannot be calculated |
| Total gross amount due |
|
The total amount for the reservation that is still owed (i.e. the
total gross amount less any payments made) |
| Total amount paid to date |
|
The total amount paid up to and including the current date |
| Reservation status |
|
- The status applied to the reservation (i.e. confirmed, provisional,
waitlist etc)
- If the reservation status displays as Confirm (Req) it means
a consultant has not been allocated to the reservation and the
reservation cannot be edited, a consultant must first be allocated
to the reservation (for detailed information on how to allocate
a reservation refer to the module: Web Reservations)
- Reservations with quotation status are the only reservations
that can be deleted from the system, any other status must
be ‘cancelled’ in order to ‘remove’
the reservation
- Only users with Reservation-Management access can edit
confirmed reservations
- A confirmed reservation cannot be changed to provisional
or quotation
- To change a reservation status, in edit mode click the Change
Status button, from the change status select the new status for
the reservation. On changing the status to provisional or confirmed,
Resrequest runs an availability check and will prompt any overbookings
(should there be overbookings on the reservation)

| Itinerary |
|
- To add an itinerary item:
- Click the Add Itinerary button, input itinerary details
(as per the wizard)
- Optional services are displayed in brackets after the accommodation
name, costs for these services are included on the total itinerary
amount
- To edit an itinerary item:
- To change an itinerary item, select the item row in the
itinerary summary area. The room numbers pop-up opens from
where the number of rooms, room configuration and optional
services can be amended. On proceeding from the room numbers
pop-up the system re-checks availability and will process
overbooking confirmations as per the reservation wizard
- Commission calculations, when commissionable amounts are
amended are automatically recalculated based on the commission
stored on the reservation
- To delete an Itinerary item:
- Delete an itinerary item, by clicking the delete button
on the right of the itinerary item - at least one itinerary
item is required for a reservation
- To edit amounts for an Itinerary item:
- To edit amounts for an itinerary item (e.g. allocate discounts
etc), click the Components button, this will open the cost
component window
- To change additional services allocated to an itinerary
item:Click the itinerary row, click OK from the room numbers
pop-up (i.e. don’t make any changes), the optional components
window will open next (provided there are no overbookings),
amend the additional services and click OK to apply the amendments
|
| Extras and/or travel |
|
This field displays an amount for extras allocated to the reservation.
Where this amount shows as ‘none’ it means that no extras
have been allocated to the reservation. If the amount displays as
‘0.00’ it means that extras are allocated, but at no charge |
| Accommodation Total |
|
This refers to the total for accommodation allocated to the reservation,
where this amount shows as TBA, it means that one or more amounts
are not allocated |
