Creating Reservations

Resrequest enables multi-itinerary and multi-property quotations and reservations to be generated in a selected rate type. Agent commission, contact details, arrival and departure information, notes (including guest names, special requests and internal memos), discounts, extra services, reservation status and payment plans can be allocated to reservations.
Proforma or quotation documentation can be e-mailed or printed.

This module details how to:
1. Navigate on the availability calendar
2. Build a quotation
3. Create a reservation

Resrequest enables multiple property and itinerary reservations to be created on reservations. With Resrequest reservations can be created offline by resort staff at camp or from a central reservation office. Reservations can also be created on the Internet - usually by agents or public users with Internet access.

  Multi itinerary

A reservation is an arrangement by which accommodation is secured in advance, as in a hotel or on an airplane. In some cases guests stay in different resorts or accommodation types during a journey, in these cases the reservation is made up multiple items (i.e. the client’s accommodation itinerary). Multi itinerary means that reservations can consist of a number of different arrival and departure dates, rate types, room types or room configurations (i.e. different numbers of people per room).

Separate items are usually created when there is a change of accommodation type or properties within a reservation. For example, a guest stays in a twin room at a hotel from 21 March to 24 March, he then moves to a suite from 24 March to 26 March. This information needs to be captured separately so that:

  • an accurate quotation can be provided (in cases where a suite is more expensive then a twin room)
  • the availability of accommodation types remains truly reflected on the availability and occupancy calendars
  • house lists generated at the resort/hotel reflect the room change

Items are made up of the following details:

  • Property name· Accommodation type· Arrival and departure dates (and number of nights)
  • Number of rooms required (and room number allocation)· Names of guests (and guest details)
  • Transfer/transport arrangements to and from each location
  • Extra services requested (or expenses incurred) at a location

Multi-itinerary Reservation:
2Xadult in Bungalow Arriving 23 Jul 2003 – Departing 26 Jul 2003
2Xadult in Chalet Arriving 23 Jul 2003 – Departing 27 Jul 2003
In this example there are 4 adults in the group, 2 adults want a twin room while the other 2 want a suite and will be staying an extra night. This means that a different cost must be calculated for each itinerary item. To display this on the reservation requires two different itinerary items to be created:

  Multi property

Multi property means that within a reservation different itinerary items can be allocated to different properties, for example:

2Xadult in a Chalet at Mopane Lodge Arriving 23 Jul 2003 – Departing 26 Jul 2003
[transfer] 2Xadult in a Cabin at The Mokoro Lodge Arriving 26 Jul 2003 – Departing 27 Jul 2003
2Xadult in a Bungalow at Mokoro Arriving 23 Jul 2003 – Departing 27 Jul 2003

In this example one couple would like to spend the last night at a different property/camp within the group, in this case the reservation will consist of three itinerary items:
