Once the itinerary is created, creating a reservation involves 3 simple
steps. To capture reservation details for a reservation request, click
the Make Booking button at the bottom right of the itinerary
summary. This step is where reservation details are entered.

Some contact information is compulsory to store the record.
Contact information displayed to internal users differs to external/public
users:
- External users do not have a consultant field displayed
- If the user is an external user who has a relationship with
an agency, the agency name is pre-populated in the Agent field
(appropriate commissions are applied when the itinerary is created),
in the case of a public reservation, this field is a free-format
field for the user to enter the relevant agent information and
no commission is applied (the amount for the reservation is calculated
by the rate type defined for the reservation)
- External users cannot select an originator or contact name,
the originator field is a free-format field that is added to the
Notes when the reservation is generated and the contact name is
a system-generated field that is populated with the user name
(if the user is logged in) or is blank (in the case of a public
user)
- External users cannot update contact information

Reservation extras are services that can be allocated to a reservation.
Only internal users can allocate extra services to a reservation,
the user can select the show/hide button to expand or collapse the
extras section - when expanded, extras can be allocated to the reservation.

Guest details that can be stored for a reservation include: guest
names, history at the camp, special requests, nationality and last
point of contact.

Reservation notes are general reservation notes or requests. Reservation
notes can be displayed on documentation provided to the guest. Internal
Memos are also general reservation notes, but are considered confidential
memos that guests do not have access to. Internal memos can only
be viewed by internal users (internal memos are often detailed or
confidential instructions that the camp/resort manager needs to
address).
Notes entered in the ‘Dietary requirements’, ‘Last
point of contact’ and previous guest are added to the reservation
note when proceeding to step 3.
Free-format notes can be entered directly into the Reservation
Notes or the Internal Memo fields. To reduce repetitive notes being
re-entered for each reservation, Standard Notes can be allocated
from the standard notes code table. Allocating standard notes means
that a general note is added to the Reservation Notes field and/or
the Internal Memo field – all existing notes remain in the
notes area, the standard note is added to the list. Once the standard
note is added, it can be amended and customised for the reservation.
External users who encounter an overbooking on Step 1 of the wizard
and chose to continue and request more rooms are prompted to enter
details for more rooms, the free-format note the user enters here
is also added to the reservation notes under the heading “Request
for more rooms”.
Adding notes
There are two ways to add notes:
1. Enter a free-format directly into the reservation notes and internal
memo area
2. Select a standard note
To enter a free-format note, enter text in the reservation note
and internal memo fields, any text added here is saved to the reservation
notes on click of Proceed to Step 3.
To add standard notes, click the Standard Note button, this will
open the standard notes pop-up.

Select the relevant status from the options displayed by clicking
the button to the left of the required status.
- Reservations with a status of ‘confirmed’ or ‘provisional’
will keep rooms from the calendar
- Quotation and waitlisted reservations have no affect on the
availability calendar (the reservations are recorded in the system
and can be tracked, however they do not affect availability on
the calendar)
- The provisional expiry date defaults according to settings
from the default table
- If the internal user is not a consultant, the reservation is
listed in the reservation request queue (the same as when external
and public users submit requests) regardless of the status selected
- External and public users have different status options including:
- Descriptive status options
- Overbooked reservations cannot be confirmed or provisional
- Overbooking details are not displayed
- No provisional expiry date is displayed
If the reservation itinerary includes an overbooking, overbooking
details are displayed in the status area
