Web Reservations      
 

Internet users can create reservations on the web, during data transfer these new reservations are imported into the offline system/s. To assist in monitoring and tracking these incoming reservations, Resrequest has a central module where these reservations can be displayed and allocated to a consultant. All reservations that do no have a consultant allocated are listed in the Reservation Requests module.

Consultant: consultant is the internal travel specialist who is allocated to oversee/manage the respective reservation. Internal users are allocated as consultants in the access control module

Reservation request overview
A reservation request is a booking that has not been created by or allocated to a consultant (the internal user who will manage and track the reservation). Reservation requests are usually bookings created on the web, for example: reservations created by an agent or member of the public.

When a booking request is processed it is allocated a status such as: confirmed, provisional, waitlist or quotation. Although the booking is not yet allocated to a consultant and is considered a request, the system treats the booking as provisional or confirmed. This means that the requested rooms are taken into account when availability is displayed on the calendar and when reservations are listed on reports.

To enable resorts to track, reply to and manage these incoming requests, any reservations that do not have a consultant allocated are listed in the “Requests Received” queue, from this queue consultants can check and accept reservations (this means that they will be allocated as the internal consultant/travel specialist and the reservation will be moved out of the Requests Received queue).

Reservation requests are included on reports, however the reservations cannot be edited (until they are moved from the Requests Received queue i.e. a consultant is allocated). The status of these reservations is displayed as a requested status on reports or general displays, for example: a request for provisional will be listed as Prov (Req) or confirmed as Confirm (Req).

 

Accessing the Reservation Request module
Reservation Requests is only available to internal users who have read, update or management access to the Reservations module. Reservation Requests is accessed from the Reservations menu

Working with the Reservation Request module
On entry to the Reservation Requests module, a list of all reservations not allocated to a consultant is displayed. Only users with consultant access can move reservations from the queue. Reservations displayed here are included on reports, the reservations status is indicated as ‘Req’, for example: Prov (Req) is a provisional reservation that is listed in the reservation request queue
