Navigating in Reservation Request      
 

The reservation request module lists summary information of incoming reservations in order of status requested. The reservation is compared with the existing calendar and availability is displayed.

Only internal users can make a reservation confirmed or provisional when there is an overbooking. Overbooked reservations created by external users are created as waitlisted and cannot be changed by the external user. This means that reservations created by external users (listed in the provisional or confirmed requests received queue) that show as overbooked were available at time of booking, however clashing reservations may have been created on the offline system and after data synchronisation the space for the requests received is now overbooked – this requires intervention by the internal consultant and an adjustment of clashing reservations.

  Reservation origination  

 

  • This field will filter reservations to display reservation requests generated on each environment, for example: reservation requests generated on the USA server of the SA server or the local server
  • This field is set to Include Public Requests

  Public requests  
  • This is the default setting for the report display, this means that the list includes reservations generated on the public calendars
  • Public reservations have the ‘created by’ field default as ‘Direct’

  Accept selected requests   This button allows the user to select multiple reservations (from any status area), clicking this button once reservations are selected will open the Status confirmation window
        This button will keep the reservation status’ and allocate the consultant who is logged on the system as the reservation consultant

Accept without changing the status
     
       

This will change all selected reservations to the selected status and allocate the consultant who is logged on the system as the reservation consultant

  • Clicking the Accept or OK button will allocate the consultant to the selected reservations and open the confirmation window
  • The confirmation window shows a summary of the reservations allocated to the consultant, this list can be printed, emailed or the window closed
