An individual is a contact with a first and last name.
The contact form allows storage of general contact information, provides the ability to setup the contact as an agent (for tracking in the system and applying commissions) and a system user and it enables relationship links to be created with other contacts.
Working with Contacts:
- To create a new contact, edit, save or delete an existing contact click on the respective toolbar buttons. Remember that to edit or delete information you need to be in edit mode (to access edit mode click the Edit button on the toolbar).
- To apply a role to a contact, click the checkbox next to the role and a pop-up relating to that role is displayed, enter the required details in the pop-up and close the pop-up to return to the contact details screen.
Roles available to individual contacts are:
| Agent role |
Applying an agent role to a contact means that the contact is recognised as an agent that can be associated with reservations for tracking purposes and that can receive commission for reservations generated. |
| User role |
Applying a user role means a contact can log on to the system, it is here where the username, password and system restrictions are setup for this contact. |
Tips and shortcuts
- To add more than one telephone number to a contact, click the telephone directory next to the telephone field.
- To send an e-mail to this contact, click the e-mail icon next to the e-mail contact field.
- For any terms you do not understand, remember to use the What’s This button on the toolbar. How? Click the What’s This button and then move your mouse to the word on the screen that you need explained.
